Our Organization

Guelph Chamber Choir (GCC) is a charitable organization, recognized locally and nationally as Guelph’s premier choral ensemble. Its mission is to foster community enjoyment and appreciation of choral music through performance, outreach, artistic collaboration, and community partnerships.

 

Position Summary

GCC seeks a bookkeeper to:

  • Keep records of the financial affairs of the choir
  • Report to the board following the schedule of board meetings
  • Attendance at the Annual General Meeting
  • Liaise with the Canada Revenue Agency and the choir’s auditors in the preparation of annual returns and reports
  • Assist the wider staff (e.g., General Manager, the marketing team, and the fundraising team) to provide information for grant applications, budget tracking, payment status, etc.

 

Time Commitment:  This is a part time position, and it is understood that hours per week may be flexible, depending on the work required during the season. With respect to events during the season, the scope of GCC’s annual program typically includes:

  • 4 to 5 ticketed concerts
  • 3 to 4 community outreach activities (e.g., mini concerts, live-streamed events…)

 

Reports to:  Board of Directors

Relation to Staff:  The Bookkeeper is part of the management team of the GCC including Artistic Director, General Manager, Digital Media and Promotions Team (and/or vendors).

Remuneration:  $4,000 per year

 

Responsibilities

  • Receive and organize all financial details provided by the General Manager, e.g., bank deposits, invoices, details of cheques, issue approved payments using system cheques created in accounting software
  • Assist the General Manager, Treasurer, and the board in the preparation of budgets, grant applications and financial reports
  • Prepare regular financial statements (as required by events and planning), including statements of revenue and expenses and balance sheets as required by the General Manager and board of directors
  • Work with the General Manager in the preparation of charitable tax receipts and charitable reports,
  • Maintain ongoing financial records
  • Reconcile and balance bank accounts
  • Work with the General Manager to recommend improvements to processes, tools, etc.

 

Skills and Requirements

  • Familiarity with computer programs regarding financial records, i.e., Quick Books Online, Sage
  • Familiarity with regulations concerning charitable status and CRA requirements (HST)
  • Ability to support the mission of the GCC, connection to the community of Guelph and the surrounding area
  • Ability to develop and maintain good relationships with the GCC management team and volunteers
